ENTRY RULES AND REGULATIONS
General
The subject matter is open. Images deemed vulgar or offensive by the juror will not be considered.
Artwork must be entirely original and completed from 2021 to the present.
Artwork may NOT be the product of instruction of any kind, such as DVDs, workshops, or classes.
Artwork must conform to the required size, framing, hanging, and shipping requirements (see details below).
Artwork must be for sale.
Entry Fees - $45 for the first entry plus $15 for each additional entry, up to 3 total entries
Sales/Other Fees (Juried Works Only)
- Shipping to Heartland Art Club and return of artwork is the artist's responsibility (see Shipping category below for details on shipping).
- There is a one-time packing, handling, inspecting, and hanging fee of $35 for shipped artwork.
Hand-delivered/retrieved artwork will not incur the above handling fee. - Selected juried artworks must be offered for sale through Heartland Art Club.
Gallery commission is 35% of the total sale for non-member artists.
Gallery commission is 25% of the total sale for member artists. The gallery withholds an additional 3% for sales processed by credit or debit cards. - To become a member before your RepreSensational submission, visit: https://heartlandartclub.org/membership
Artwork sold during the show must remain on display until the final exhibition date unless the Gallery Team makes other arrangements to facilitate a sale.
Size Requirements for Artwork
Maximum Dimensions:
- 2-dimensional works no larger than 48 inches (outside) in either direction, INCLUDING framing.
Image Requirements for Submissions
File Type: JPEG or Jpg
File Dimensions: no more than 2400 pixels on the longest side
File Size: Under 5 MB
File Name: Label image this way only - Last Name, First Initial, Title
DO NOT INCLUDE FRAMING in your photo - only the image of the artwork
- 2-dimensional images - only submit one image
Presentation and Framing Requirements
- Two-dimensional artwork must be framed in a professional manner using D-rings and wire. NO SAWTOOTH HANGERS accepted.
- Flat panel or gallery-wrapped canvases must have finished edges at least 1.5” deep.
- Frames must be stable, undamaged, and appropriate for a quality gallery exhibit. Artwork not meeting these requirements will be disqualified and returned at the artist’s expense.
- Pastel, charcoal, or similar artwork typically framed behind glass will be accepted, but the risk of shipping belongs to the artist, and HAC will not be held responsible for glass breakage.
- Artwork must be ready to hang.

Selected Works
The artwork selected (including the medium used) and the number of works will depend solely on the juror. The quality of the works selected is of primary importance. The decisions made are final.
Artwork must be the same as the original image entered. No substitutions. After selection, registration cannot be changed, so please be very careful with contact information, price, title of artwork, and entry size.
Artists whose works are selected must accept or decline their invitation and pay the handling fee (if shipping artwork) by June 30, 2025.
Lack of response to the invitation will be treated as declined.
Notification/Invitation
Notification of jury results will be sent to all artists June 13, 2025.
Shipping/Delivery of Artwork
- All artwork must be received by July 26, 2025.
- Artists are responsible for all shipping and insurance fees.
- Artists must include a pre-paid return shipping label with artwork. Further instructions will be provided with the invitation to participate in the show.

Awards will be announced at the Opening Reception on August 15, 2025. Efforts will be made to immediately notify the winners of the competition.
Cash awards will be paid by check.
Tax Forms
US residents who receive $600 or more in awards and/or sales will be required to complete a Form W-9 and will receive a Form 1099 by the end of January 2026.
Shipping Requirements for Selected Juried Artists
Further details will be provided with acceptance notification, but please note:
- Artists who are selected will be required to pay for shipping to HAC and for a prepaid return label for unsold work.
- Selected artists who ship artwork to the gallery must pay a handling fee.
- Selected artists who live within drop-off/retrieval distance may do so and are NOT required to pay the handling fee.

Heartland Art Club is a 501(c)3 organization incorporated in the state of Missouri. The Club has a permanent office and exhibit space in Kirkwood, Missouri -- The Galleries at Heartland Art Club.
Agreement/Terms of Entry
- You understand that awards are judged in person on the artwork displayed at the gallery.
- You agree to ship your artwork, if selected by the juror, so as not to deprive another artist of an opportunity.
- You agree to comply with the terms outlined in this prospectus.
- You understand you do NOT need to be a member of Heartland Art Club to participate in the jurying process or to participate in the exhibit if selected by the juror, but we would love to have you join HAC.
- You recognize Heartland Art Club reserves the right to disqualify artwork that does not meet the requirements listed in these rules.
- You certify that you hold the copyright to the artwork submitted.
- You grant permission to Heartland Art Club and The Galleries at Heartland Art Club to share your name and images of your artwork to promote the exhibit and the club, to display the online catalog, and to promote sales on the Heartland Art Club website as well as on social media.
- You recognize the juror/judge decision is final.
- You agree Heartland Art Club is not responsible for damage or loss, whatever the cause.
We have plenty of room! There are 10 separate gallery rooms at The Galleries at Heartland Art Club. There are three large galleries and eight smaller rooms to discover outstanding art!
