CONDITIONS

• If selected, the artist will submit the associated exhibit fee via CaFE by December 1, 2025 to secure the assigned slot

  • Dougherty Station Community Center - $30.00/Month
  • City Hall - $30.00/Month
  • Alcosta Senior & Community Center - $30.00/Month
  • San Ramon Library - $30.00/2 Months
• City staff reserve the right to curate exhibit slots, considering the body of work and availability, which may differ from the artist’s preferred site to exhibit
• Any sales of work on display during the exhibit are subject to a 20% sales commission
• Commissions are payable to the City of San Ramon at the end of the exhibit and may be
  processed at the San Ramon Community Center at 12501 Alcosta Blvd.
• If selected, the artwork is to be hand delivered/installed/de-installed by the artist
• The City of San Ramon is not responsible for work that is lost, stolen, or damaged
• Work may not be removed until the end of the exhibition, unless replaced with another piece
• Artists agree to give the City permission to photograph the work or use their photo for
  marketing purposes.

Disclaimer: Staff are pleased to be able to offer this unique opportunity to the artist community. However, please be aware that an application to exhibit in 2026 does not guarantee selection to exhibit. Those not selected will be added to a waitlist and will be contacted by City staff should a slot become available.

MARKETING

• Exhibits are advertised in our seasonal recreation guide as well as at our Gallery Webpage
• Exhibit information may also be shared on City social media accounts and .gov delivery lists
• Artists confirm final exhibit description and images in advance of the exhibit (6-8 weeks out)
• If you would like to advertise new/up to date images of your exhibit for promotion please share
• Please share quality images that have been appropriately cropped with no frame or background
• You may share your own social media or online articles about your exhibit with staff
  • Tag @CityofSanRamon on Instagram or City of San Ramon - Government on Facebook
• Although not required, if you create a postcard for your exhibit we can distribute to City facilities
• All flyers and/or postcards need to have the official city logo placed on them. Contact Ri.
• There are a few outlets artists are welcome to contact in the area to promote the exhibit.

EXHIBITING STANDARDS: 2 DIMENSIONAL

• All sites support 2D shows
• 2D work will be hung via the walker display system. (www.walkerdisplay.com)
• Max weight per rod is 50 pounds
• Max Weight per track span is 150 pounds
• All work is expected to be “Exhibit Ready” for installation
  • Cleanly framed and wired with D-Rings
    • Frame Exception: Large canvas on heavy-duty stretcher bars may be gallery wrapped
• Pieces should be accompanied with a typed label placed to the lower right of the piece
  • Artist’s Name, Work title, Medium, Price (“NFS” if not for sale), Contact email or QR Code
• 2D entries must be cleanly framed and wired with D-ring hangers, and the wire ends taped
• The wire should not be visible when viewing the piece on the wall
• 2D framed pieces should use acrylic/plexiglass covering rather than glass
• Photography should be matted and framed unless printed on metal
  • Framing Exception: Paintings on Aquaboard (or similar surfaces) cradled panels with a varnished/finished protective coating may be displayed without acrylic/plexiglass covering
• Work should remain on display for the duration of the show unless replaced

EXHIBITING STANDARDS 3 DIMENSIONAL

• Lindsay Dirkx Brown & Dougherty Station Community Arts Center support 3D shows
• 3D pieces should be in stable condition
• The City has (10) 12" x 12" x 36" white laminate pedestals with 12"x12"x12" acrylic tops
• Pedestals have a 50 pound weight limit
• The City has (2) 36" x 48" white minimalist display tables display table
• No more than 100 pounds should be placed on the display tables accumulatively
• Artists are welcome to provide their own pedestals if they prefer
• Lindsay Dirkx Brown has two cutouts in the wall not protected by plexiglass for 3D work
• Lindsay Dirkx Brown has 2 cutouts in the wall protected by plexiglass to display 3D work
• Dougherty Station utilizes freestanding pedestals and display tables
• Ceramics and other 3 dimensional pieces such as reliefs or textiles may be hung from the Walker Display system provided the artist created a means of hanging them securely from the system
• Please consider the system’s limitations
  • 50 pounds per rod
  • 150 pounds per span of track
• 3D pieces should be accompanied by a label
  • Artists name, work title, medium, price (“NFS” if not for sale), contact email or QR code
• Work should remain on display for the duration of the exhibit unless replaced with another piece

LOAD IN AND LOAD OUT

• Load-in occurs on the first business day of the month during operating hours
• Load-out occurs on the final business day of the month during operating hours
• Artists arrange to install and de-install their work accordingly with City Staff
• Available hook and rod inventory for installation is indicated in the artist packet upon selection
• A facility technician or building attendant are on-site should you have any questions
• 2 tables, rods, and equipment box are set out for the artist during load in and load out
• The equipment box contains:
  • Small needle nose pliers
  • Small wire cutter
  • High holders (type of Walker Display system hook)
  • High Hooks (type of Walker Display System hook)
  • Hand level
  • Painters Tape
• Artists should bring in anything else they would need to install their work, i.e step stool.

RECEPTIONS

The City provides the opportunity for artists to hold a reception at the site of their exhibit. Receptions are not required. If interested in a reception, please reach out to Riannon to confirm availability. If artists would like to engage the community by creating a talk or small activity in conjunction with their reception, please contact Riannon to discuss further.

The City will provide:

• (2) hour block reservation during hours of operation
• (2) 6 foot tables
• (2) fitted black linens
• Event marketing on City social media accounts and distribution of flyers to City facilities.

The artist will provide:

• Snacks or small bites if they would like to
• Water or Beverages if they would like to
  • Presence of alcohol requires the artist to acquire ABC permit and event insurance
  • Minimum liability insurance requirements are 1 million per occurrence and 2 million aggregate
